Introducing Activity log

Tracking learning activity and Off-the-Job Training (OTJT) is essential for apprenticeships, but for many providers it has become unnecessarily complex. Fragmented processes, spreadsheets, and workflows tied too closely to evidence submission can make it difficult to understand when learning actually took place and how consistently learners are engaging.

That is why we are introducing Activity log, a new area within Aptem designed to make recording, reviewing, and verifying learning activity simpler, clearer, and more audit-ready for everyone involved.

Activity log enables learners to record learning activity as it happens and allows tutors to review, verify, and provide feedback on that activity. It augments existing OTJT tracking and does not represent any change to Department for Education policy or requirements. Instead, it supports clearer and more accurate recording of activity over time.

 

Why Activity log matters

Historically, learners have often been required to record activity at the same time as uploading evidence. This has led to learning hours being logged in large blocks on a single date, usually when evidence is uploaded, rather than reflecting when learning actually occurred.

For learners, this has meant:

  • No single, clear place to record learning activity

  • Limited visibility of learning patterns and progress over time

For tutors and providers, it has resulted in:

  • Time-consuming and inefficient verification processes

  • Reduced clarity for audit and compliance

  • A fragmented view of learner engagement

Activity log addresses these challenges by separating activity recording from evidence submission. This creates a dedicated workflow focused on accuracy, transparency, and efficiency, while still supporting robust verification and audit requirements.

Activity log provides a clear hub within Aptem where learning activity can be recorded and reviewed independently of evidence uploads.

It is designed to be:

A single, structured place for logging and verifying activity, separate from evidence complexity.

Efficient and intuitive
A guided interface that reduces administrative effort for both learners and tutors.

Compliant and audit-ready
Accurate, verifiable records that can be exported easily for audit and funding assurance.

Foundational for the future
Built on new technical and design foundations to support future enhancements, integration, and scalability.

 

What learners can do

With Activity log, learners gain a straightforward way to record learning activity as it happens.

Learners can:

  • Access a dedicated Activity log area from the main navigation.

  • Record new activities by capturing:

    • Activity type

    • Date and duration

    • Whether the activity took place during working hours

    • A short description

    • A link to the relevant learning plan component

  • Receive guided suggestions to help select the correct learning plan component.

  • View a complete history of logged activity in a searchable and filterable table.

  • Edit or delete activity that has not yet been accepted.

  • View tutor feedback clearly when activity is returned for changes.

Once an activity is accepted, it becomes read-only and forms part of the learner’s verified record.

 

What tutors can do

Activity log also introduces a centralised tutor experience, making caseload management more efficient and transparent.

Tutors can:

  • See all learner activity requiring review in one place.

  • Review activity using a streamlined verification wizard.

  • Accept activity or return it with clear, mandatory feedback.

  • Identify learners who have not logged activity in the last 28 days.

  • View a full activity history for individual learners.

  • Export a complete CSV record of activity for audit and compliance purposes.

Tutors can review and verify learner submissions but cannot edit learner-entered activity, preserving data integrity and transparency.

 

Early access and what to expect

Activity log will be released in early access in February 2026, to a limited number of early-access customers. 

This revised timeline has allowed additional work to be completed ahead of release, reducing several limitations originally identified and strengthening the functionality available at launch.

Early access allows providers to use Activity log in real-world settings while we gather feedback and refine the experience ahead of general availability.

During early access:

  • Activity log operates as a standalone workflow

  • Activity data is available via an opt-in OData feed

  • Logged hours do not yet appear in existing dashboards or automation trackers

  • Activities must be linked to a learning plan component

  • Evidence upload workflows remain available and separate

  • Providers must ensure learners do not record the same activity in both workflows

Notifications are supported during early access. Tutors are notified when learners submit activity for review, and learners are notified when activity is returned with feedback.

 

Looking ahead

Activity log is a foundational step towards a clearer, more accurate picture of learning activity in Aptem. By focusing on when learning happens rather than when evidence is uploaded, it supports better learner engagement, easier tutor verification, and stronger audit confidence.

The early access phase will run through to the end of Quarter 2, 2026. Phase 2 will focus on bringing Activity log into full general availability, integrating it across relevant workflows, and addressing known limitations. Some improvements may be delivered during early access, but providers should expect the core functionality to remain broadly consistent throughout this period.

We will begin phasing in additional customers once the initial group of early access customers has completed their rollout.

 

Get involved

Participation in early access gives providers the opportunity to try Activity log in a real setting and share feedback that will directly influence its future development. We encourage providers to take part in a way that aligns with their organisation’s readiness and capacity. This feature is currently available to a limited number of early-access customers. We’ll share further updates once we’re ready to widen availability.
