Functional Skills: Troubleshooting guide

This guide covers problems you may see with Functional Skills aims, sub-programmes and assessments.

Aims and sub-programmes

Why isn't a qualification showing in the "Qualification name" dropdown when I add assessment details?

Likely cause: Exclude from the batch is selected on the qualification's aims in the learner's ILR. This stops the qualification pulling through.

What to do: clear Exclude from the batch on the aims, then add the assessment details again. See Add a new assessment outcome for a Functional Skills qualification.

Why does a learner have duplicate Functional Skills learning aims?

Likely cause: the learner has two Functional Skills aims in their ILR. This happens when they're added to a sub-programme whose ILR template has one aim, and the Qualification component in their learning plan has a different Functional Skills aim.

What to do: it depends on what has happened in the ILR. You could take the following approach:

  • If the aim has been claimed: withdraw the aim you don't want to claim, and start to repay the funding claimed for it to date.
  • If the aim hasn't been claimed: delete it.
  • If the sub-programme has the wrong aim: delete the sub-programme. This removes its components from the learning plan. If you also delete the aim from the ILR, return it as withdrawn first.
  • If the ILR has the wrong aim: the learning plan is correct. Withdraw the aim you don't need.

Check with the DfE that your approach is compliant.

Why do I get an error when I add a Functional Skills sub-programme?

Likely cause: reviews are configured on the sub-programme, but its Review token is disabled in Programme Builder.

What to do: enable the Review token on the sub-programme. If the token is enabled and you still get the error, contact Aptem Support.

Assessments

Likely cause: the Century integration is enabled and the assessments are configured on the learner's programme, but the learner's email address is already registered in Century with a different training provider.

What to do:

  1. Contact Century to check whether the email address is in use, and ask for it to be released.
  2. If Century confirms the email address isn't registered elsewhere, contact Aptem Support.
