Introducing Aptem's Communications Connector with Teams

We introduced a Communications Connector in April 2024 to allow customers to bring their organisation’s Microsoft Teams license into Aptem. This offers learners and tutors a secure, familiar and consistent experience, enabling them to schedule, reschedule, and cancel meetings and reviews. This 15-minute session showcased how this connector works and provided a Q&A session to answer any related questions.

Q and A transcript

The following is a transcript of the questions asked during the webinar, along with the answers provided by product experts. For any further information, do contact your Implementation Consultant, Customer Success Manager or Aptem Support.

When the user books the meeting, can they see the tutors availability so there are not clashes?

Tutors can see their own Aptem calendar and other tutors' Aptem calendars in the scheduling assistant view, but the Teams calendar isn't reproduced in Aptem.

Any plans to record and store the meetings?

You can still record meetings in Teams as long as this is available with your current Teams licence. These will be stored in your Teams account. We don't currently plan to bring the recording links back into Aptem, but we are open to feedback on this.

I have a number of workshops about to be created. Will I be able to save each one for use many times in the future, adding a Teams link for each different tutor group as required.

You can re-use workshops for different tutors. Currently the functionality will only work for the Placement Owner. In June we are introducing functionality which will allow you to change the Placement Owner and the link will be replaced. You could also create a placement template and "clone" the placement - this is current functionality. You would just need to select "Meet Online" within each placement.

We do need to record short meeting of max 30 min. Is this available?

You can still record meetings in Teams as long as this is available with your current Teams licence. These will be stored in your Teams account. We don't currently plan to bring the recording links back into Aptem, but we are open to feedback on this.
