Aptem basics: How Aptem calculates progress
During this webinar, Georgina Burton, Head of Implementation at Aptem, explored how progress is calculated in Aptem for both Standards and Qualifications. Georgina looked at how the programme setup and learning plan setup impacts the planned progress, and the advantage of pre-mapping learning plan activities.

If activity is mapped then deleted off plan as not completing, does this mean criteria would never get to 100 or if you replace with different activity would it then show?
If you deleted a learning plan component with mapped criteria (where it is the only place that is mapped) then yes, you will never reach 100% unless you re-map that criteria somewhere else.
Can a learner see/have access to the gap analysis?
Yes, as long you have made the criteria viewable to a learner at programme level make criteria visible to learner in the learning plan setup).
In respect of CII qualifications, apprentices take many different routes to their Cert/Dip/ACII, so it is impossible to pre map this. We need to be able to see progress against this and see what units they have completed. Can you share best practice for adding and mapping against the quals to show progress against the qualification and how delivery managers can quickly and easily see what units have been completed to date?
You can view the progress as you holistically map - but the learning plan component MUST be completed to see this. If you multiple pieces of evidence being added to the same criteria, consider using more learning plan components or encouraging your learners to add learning plan activities to allow more flexible mapping response times.
Can we run a Gap analysis/download a PDF of mapped KSBs?
You cannot currently download a gap analysis or PDF of mapped criteria.
I have an issue on mapped/not mapped the progress is not showing nor is the evidence against the progress bar.
Please raise a support ticket so this can be investigated further
If the portfolio is being completed as holistic and unitised, how can we show progress, as there will not be multiple components for set criteria, only one component - how can we show progress, it seems criteria is only set as met when the component is set as completed, rather than marked as met.
Consider using more learning plan components or encouraging your learners to add learning plan activities to allow more flexible mapping response times
Does the planned date of a component affect the progress?
If learner submits evidence for a future activity, and it's marked and accepted, does the progress not move until the date the activity was due? It can affect the learning plan progress but not the criteria progress
Can the unmapped work be done for say functional skills in the same way please?
Yes
Most of my criteria is unmapped but working on a Curriculum that will be mapped. Will the previous assessed criteria follow in new Aptem components?
If you are now mapping your programme level learning plan then all new learners onto programme will have the pre-mapping. Existing learners will not, but you could resolve this by mapping and syncing an individual learning plan. You should seek advice either from our support team or your IC before attempting this though
When a learning plan activity has hours allocated against iot, will these be recorded as off the job hours when the activity is closed?
No, the hours that are recorded against the off the job are those hours that are entered when submitting the evidence.
Will this session cover the function of the new qualification component in the learning plan?
I believe you are referring to the registration and certificate functionality. This will not be covered today
if no criteria is mapped, do learners see any of the criteria?
You do need to have at least 1 item mapped for the learner to be able to see the criteria set.
How do we spread a task out over multiple months, either from the start date or another date in the programme?
Currently you need to add a complete by date. Consider using the Instructions to provide a detailed explanation of start by and end by dates to the learner.
