Updates relating to the UVAC Training Plan
Overview
Based on the new UVAC template, a new 'UVAC - Components Plan v3' Compliance Document has been created and placed in the new 'Training Plan' section.
Rollout information
The UVAC - Components Plan v3 will be enabled automatically for all tenants who have UVAC v2 enabled. The new v3 version will be present in the Account Programme, where the previous version existed. So, this new version will be selectable on any programs that the customers want to build. It will not automatically get added/generated, it will do nothing until you choose to add it to a programme.
How to implement changes
The recommended way to implement this is to clone or create a new programme and add this document in as a new document. We do not recommend adding this document directly into an existing program, as this will force every learner who is already on that programme to sign the new document. This would then restrict their access to their learning plan, until they sign the new version.

Where it is assigned to the learner's programme, when trackers regenerate the compliance documents, they will regenerate the UVAC - Components Plan v3.

- You need to read through all the new wording that's prefilled in in the editable fields, because it's a generic template, and make sure that you individualize the text blocks and made any adjustments that you need to make, like putting in specific websites, putting in specific named individuals or departments, etc.
- Apprenticeship Delivery Summary added – in line with funding rules.
- This has example text that will need to be replaced with a summary description of the University's delivery model

- Renamed the header that reads 'Section A – Occupational Knowledge Skills and Experience Learning Plan' to 'Annex A – Occupational Knowledge Skills and Experience Individual Learning Plan'
- Moved 'A.3. PRIOR LEARNING &EXEMPTIONS into a summary of recognised prior learning, in the 'General outcomes from the Initial assessment..' section above the Learning Plan.
- The text 'Individual Learning Plan' has been added above the Learning Plan.
- In the new Summary Field down in appendix in Annex A, you have to replace the text there that is just suggested text.
- Annex B has been re-arranged. The sections are now as follows:
- 'Section B.1 – Additional Learning Support Plan / Reasonable Adjustment Plan'
- 'Section B.2 - End Point Assessment Plan'
- 'Section B.3 – English & Maths End Point Assessment Plan'
- None of the functionality is currently being changed.
Note that if not otherwise stated, existing functionality remains the same with respect to where data pulls from. The UVAC v3 has a compliance document type of Training Plan. Therefore, all existing functionality for Training Plans continues to work the same.
Functional changes
- Updated reference text below the table in section 1.3
- A 'Standard Off the Job Training Weeks/Hours for this apprenticeship' field has been added.
- This field will be populated from the 'Original Planned Off The Job Hours' and will be calculated from the 'Original Planned Duration' and 'Original Planned Duration Unit' created against the learner.
- Manual entry will be allowed on the Programme Template Form. If this has been filled in manually on the Programme Template Form, then the filled-in values have a higher priority.
Setting the Standard values
When you are setting up the UVAC - Components Plan v3 in the programme builder you have two choices:
- You can manually set the Standard Values.
- If you pre-populate the maximum values or standard values in the programme builder template, that will supersede everything else. It will always stay there, and you can edit it when you generate the document.
- You can leave these fields empty and set the duration in Programme Requirements and add the off the job hours in the Learning Plan. The values set in these tokens will be automatically populated from what was set in these tokens when the programme is applied and will be read-only.
Setting exempted weeks/hours
The same logic as explained above applies to setting exempted hours. So, these fields do not need to be prepopulated when you are setting this up in the Programme builder. And if you do not set them up there, and you do not also run the new RPL tracker, you can then enter the exempted weeks and hours manually when the document is generated.
However, if you use the new RPL tracker, we will pull those values in automatically and they will override anything that's been manually entered. The workflow we recommend for the new RPL tracker is to run the tracker after any adjustments from the initial assessment and the discussion with employer, and then run the tracker, generate the documents and that will automatically populate the reductions.
