Aptem basics: What should be in your Learning Plan?
This session is for people who are new to Aptem or want a recap.
In this webinar, Freya Ni Chleirigh, Implementation Consultant, takes you through the Learning Plan in Aptem, providing a high-level overview, including best practices and a summary of what you should be including in your Learning Plan.
The session covered:
- Component types and their use cases
- The importance of the 'Requires Evidence' tick box
- Planned off-the-job hours
- 'Tutor decides' vs 'all evidence is accepted' – which is right for you?
- Summary of components you should use in the Learning Plan
- Q&A
Can you create a learning plan on a sub programme?
Yes - a sub-programme can contain it's own learning plan activities which merge into one succinct plan for the learner to follow.
If you put an activity on the learning plan, can it be set up to be completed, for example Jan/Feb, or does it need to be just one month?
All learning plan components can be set in days, weeks or months from the start date. If you wish to edit this once a learner is on programme, you can change it and apply a specific date with the advanced delivery management (edit) permission.
Is it possible to track learner progress via the Standards / Diploma rather than by components?
Yes - Please refer to this webinar: How Aptem calculates progress.
How do you create a component in the learning plan from a SCORM asset?
This would be created as a "Digital Learning" component type, and then the SCORM assets added to this component type are to be completed.
Will the functionality for verification of hours (multiple learners rather than as individuals) be moving onto console?
I am assuming that this question is in reference to the Placements/Workshops verifications, but yes. There is intention to migrate all functionality from classic to console. At the moment, there is no timeline for this migration as we are focussing on other functionalities.
Are there plans to enhance the due date options to consider specific dates or weeks in the month while remaining generic, for example instead of complete by month 1, complete by 25th of month.
All learning plan components can be set in days, weeks or months from the start date. If you wish to edit this once a learner is on programme, you can change it and apply a specific date with the Advanced Delivery Management (Edit) permission.
Is there likely to be the facility to automate marking of SCORM assets?
SCORM assets within Aptem are designed to either be Tutor Assessed or not tutor assessed. Automatically marked assets would need to be designed in Articulate or Rise360.
Can individual reports be generated to show 'time spent'?
There is a compliance document that can be generated (OTJ log) which will show any OTJ hours accepted against each completed activity in the learning plan. This can be generated whenever you want to check the detail of these hours and signed by learner and employer. You may need to ask support to turn this on in your tenant if you cannot see this compliance document.
If setting the Resource Centre task, as this doesn't link to OTJ will it show progress as behind if they do not complete it?
Progress can still be shown against KSBs if this component is mapped, but if mapping and wanting to report on OTJ, it is more likely that you would use the Digital Learning component and adding the SCORM assets to this component.
If I do not want it to show against progress as it is to access some Safeguarding information - so want it there as a reminder to do but not linked to their standard?
If you were mandating a specific resource, we would advise using the Digital learning component and not generating evidence rather than the Resource centre task.
Don't tasks tie a component to a specific date making it difficult to change at a later date?
Both the task and component can be edited together or separately to be completed at the same or different points in time.
Can you lock the learning plan?
There are permissions that allow you to limit the ability to add, edit or delete LP activities. These are the advanced delivery manager permissions that you can set against each administrator.
How do the components under "Learning Plan Activities" work with the learners making progress against the learning plan?
The learning plan activities with no set date will still show progress against the KSBs when it is completed, but in this example, does not have a set date to be completed by. As they need to be completed at any point prior to the completion of the programme, they will show in the "Learning Plan components" box of the dashboard as "remaining", but not in "target" until a date is added.
Can you make Digital Learning activities NOT count towards OTJT? For example, for induction material or functional skills?
You can make digital learning activities not count towards OTJ, by unselecting the "Require Evidence" checkbox as part of the component build. However, this will also not show progress towards criteria, which is going to cause a challenge when looking at functional skills as I imagine you will want to show progress here. We would recommend using the specific Functional skills components, which Freya has demonstrated in the webinar.
Do you happen to have a list of activity types to aid planning in SOW or learning plan prep?
Yes - please refer to articles under this section: https://support.aptem.co.uk/hc/en-gb/sections/360004998019-Learning-Plan where all the activity types are available to view.
