Connect your third-party calendar with Aptem
Overview
As a tutor/work coach, you can connect your third-party calendar to Aptem so that you can view and manage your calendar in one place. This is applicable where your tenant administrator has enabled the Calendar Integration functionality on the Settings>Integration screen, and where it is has been enabled for tutors/work coaches.
Add your calendar to Aptem
To connect your third-party calendar to Aptem:
- Navigate to your Account Settings, select Link My Calendar from the menu on your left.
- Click Add Calendar.
- You will see a third-party verification screen. From the list displayed, choose a calendar type. At the user level, you can connect to one or more of the following calendar services:

- Microsoft Exchange
- Apple calendar
- Microsoft Outlook
- Google calendar
- Microsoft 365

- You will need to verify/authorise the connection request. For example, if you select Apple iCloud, you will be asked to provide your Apple ID and an App-specific password. You must then agree to the terms of service and link your account. Similarly, if you select Google from the list, you must first agree to the terms of service and click Link Google Account. You will then be asked to sign in to your google account.
After a successful integration, the Calendar integration screen will be updated to show the new connection.
To revoke authorisation for a calendar connection, navigate to the calendar, and click the options icon ⋮ on the far right. Select Revoke Authorisation.
Calendar view
Once the Calendar Integration functionality has been enabled and your calendar has been linked, you can view your third-party calendar within Aptem.
When a calendar entry is moved, updated, or cancelled in either Aptem or the third-party system, both the Aptem calendar and the third-party calendar will be updated.
Scheduling Assistant view
Once the Calendar Integration functionality has been enabled and your calendar has been linked, you can view your third-party calendar within Aptem.
You can view calendar entries from the third-party calendar in your scheduling assistant view. While using the Scheduling Assistant to schedule reviews, you can view the work calendars of your colleagues / learners. You can also view entries from their personal calendar, if they have linked their calendars to their Aptem accounts.
This enables you to have a real-time availability preview when scheduling reviews, or when sending invites.
You can add a calendar event from within Aptem to the third-party calendar. This applies to reviews scheduled on the scheduling assistant and does not apply to reviews from the review learning plan component.

Invitee's responses to review meetings
In case you have invited your learners to a review, you can see the invitees' responses to your invite.
The sidebar showing task/calendar details will also show the invitees' responses - accepted, or declined, or marked as tentative.
