There is no automated functionality available to merge two user accounts but instead we recommend following the outlined steps to replicate the historical programme episodes from the user account to be deleted into the account to be kept:
- Identify the account you wish to retain and the one you intend to remove.
- From the account you want to keep, stop the learner’s current programme.
- Then, enrol the learner onto the programme associated with the account you intend to delete. This action will create a new ILR episode within the retained account. Please ensure you complete this process using the Classic interface. Using the Console interface to stop the programme will create a withdrawal tracker, which is not appropriate for this situation
- Next, manually update the newly created ILR episode to match the learning aims and details from the corresponding episode in the account being deleted.
- Then stop the learner's programme and re-enrol them back on to the original programme. All episode data should now be available within the same account.
This process should roughly take 15 - 30 minutes, during which the learner will not be able to access the main delivery programme.
Finally, make sure all relevant details (such as learner information, programme data, and aim details) are manually reviewed and updated in the retained account to ensure consistency and data accuracy.
