Aptem basics: Reviews
Reviews in Aptem are a flexible and powerful feature that you can use to drive progress and manage your business processes. They can be used for much more than just progress reviews. In this webinar, you can learn the fundamentals of using reviews.
The following is a transcript of the questions asked during the webinar, along with the experts' answers. For any further information, do contact your IC or support.
It would be good to have a preview of what is included within the standard panels please.
You can create a review and turn on all of the panels. This will give you the opportunity to view what this looks like and have a play around.
Could you change the title on the Review Signatures page as it currently has "Compliance document signatures" which is a bit confusing.
Currently on the 'Signatures' page we have two tabs, 'Compliance' and then 'Reviews'. The overall title is 'Signatures'. Please provide a screenshot and more information if you would like us to investigate further.
Can we use a review for eligibility as part of an onboarding programme and onboarding wizard? We currently use the Extended ILR section and generated document as our eligibility document - can we use a review instead? Or would the prospective apprentice have to complete the onboarding wizard and then we pull what we want from there into a custom review? Would learners have to log in again to sign the review?
The learner will, through the ILR and extended ILR step, be signing to confirm the data that they have provided. Yes we would advise the use of an eligibility review that you as a provider custom create against the eligibility programme and complete to confirm (using data provided by the learner in onboarding) that all eligibility criteria have been met. This can then be signed internally and retained by you against the learner record. You can also attach the extended ILR to the onboarding step of the delivery programme so the learner can re-check and sign the information that they have provided following your eligibility checks, in case some data has been amended during the process (e.g. where additional information or clarifications have been requested and provided).
Is there a report that can be used to generate a list of reviews that have not been signed?
The 'Signatures' page in the new Console view gives you a list of all of the Reviews that require your signature as an organisation. This is dependent on the group access that you have assigned the user. We are further enhancing this view to show which signatures have been obtained and are still outstanding. No confirmed date for this change at present.
Regarding the missing signatures, yes you can see the list of signatures missing but cannot export/download the data.
This is correct. There is no CSV export option.
Does the functional skills exemption get carried across to the learning plan as well?
Learning plan components are not directly connected to this exemption status. We recommend using sub-programmes for your functional skills, so that where an exemption applies, that sub-programme would not be added and therefore any learning plan components for the functional skills would not be included on the learners plan.
