For more information see: Improvements to Registration & Certification.
Scheduling Assistant
Aptem is introducing a Scheduling Assistant which will support the caseload allocation and scheduling of review meetings such as the first jobseeker meeting following a referral. This tool allows a tutor/work coach to easily view their availability alongside a learner/jobseeker so that they can schedule a review.
For an administrator with the relevant permissions they are also able to view tutor/work coach capacity and complete caseload assignments.
For more information see: Scheduling assistant.
Further process automation
Process automation helps you reduce the amount of administrative effort in managing learners and helps you ensure compliance. This release will include automating the administration associated with a change in a learner's working conditions.
Change of working conditions
The "change of working conditions" automation process will automate the tasks associated with changing the working conditions of a learner, including: a change in job title, change of working hours, and change of working location. The process will help to eliminate the possibility of errors in re-keying and will reduce the associated administrative effort in updating the relevant areas of the system.
The automation will involve an approval process which can include one or two stages of review depending upon your standard business process. This ensures that you have complete control over changes made to your learners' data.
For more information see: Change of working conditions.
Return to learning
The "return to learning" automation process will automate the tasks associated with a learner returning from a break in learning. The process will help to eliminate the possibility of errors in re-keying and will reduce the associated administrative effort in updating the relevant areas of the system.
The automation will involve an approval process which can include one or two stages of review depending upon your standard business process. This ensures that you have complete control over changes made to your learners' data.
For more information see: Return to learning.
Change of programme
The "Change of programme" automation process automates the tasks associated with a learner who is changing from their current programme to another programme with the same provider. The process helps to eliminate the possibility of errors in re-keying and reduces the associated administrative effort in updating the relevant areas of the system.
The change of programme process ensures that the intended target programme is captured as part of the request and will manage the withdrawal aspects of the ILR and allow you to track those that need to be enrolled onto a new programme.
The automation also includes an approval process which can include 1 or 2 stages of review depending upon your standard business process. This ensures that you have complete control over changes made to your learners' data.
For more information see: Change of programme.
Updates to the APIs

Employer groups APIs
Following the release of the new Employer groups feature, updates to the APIs will allow you to manage the creation of employer groups. It will also be possible to maintain the hierarchy of employer groups and the access for employer logins.
This means you will be able to integrate with a CRM system or equivalent to simplify your employer and employer login management.
User account APIs
To better support integration with HR and CRM systems we will make it possible for you to enable and disable user account access using the APIs.
Cognassist integration
Following on from the release of our integration with the Cognassist we have enhanced the integration with the following additions:
- Cognassist data is now available in OData and in User Generic Reports (UGR)
- We've added an onboarding step to trigger the registration of the learner automatically
Minor updates and bug fixes
- We've corrected the validation relating to prior attainment being too high for traineeships which was incorrectly including level 3.
- When viewing outstanding assessments, the date filters was hiding some of the results. This filtering has now been removed.
- We've added some additional Learner Delivery Monitoring (LDM) Codes: 378 and 379.
- The "Do not contact" question has been removed from the ILR onboarding step.
- The ILR codes are only relevant to the training provider so we have removed the ILR step for the learner to avoid confusion.
- We've updated the Commitment Statement to display the date/time that a signature was entered by each party. We have also added the field which describes what off-the-job hours reduction has been made as a result of prior learning adjustments.
- The workshop overview now shows candidates/attendees ordered by status to more easily identify attendees.
- The tasks view in the console now includes filters to allow you to view cancelled and completed tasks.
- It's now possible to defer the presentation and signing of documents at the end of the onboarding wizard. This means you can review and update the learning plan to account for any adjustments before issuing the documents to the learner for signing.
- We've updated the off-the-job hours panel of the learner dashboard to also display the overall target and actual hours recorded to date.
