Product Briefing Series - Sub-programmes and the Enrolment Process
The Aptem Product Team walked through sub-programmes and the enrolment process, and answered questions from attendees.

When will this update be available?
On the evening of 14th April we will be releasing sub-programmes and enrolment functionality covering:
- Learning plan components
- Qualifications
- ILR Template
- Competencies
In Q2 we will be releasing pre- defined sub-programmes functionality based on:
- Initial Assessments
- Prior learning qualifications
In Q3 we will be releasing pre- defined sub-programmes functionality based on:
- Stretch and challenge including Skills Radar assessments
On the enrolment section, does the OTJ hours take into account annual leave?
If the contract/working hours are already populated at the point of enrolment, the off-the-job required hours calculation will be done and be shown, and it will be a full calculation taking account of statutory annual leave. If the contract/working hours are not known or populated at the enrolment point then an OTJ calculation will not be possible at this point and so we won't be able to indicate whether the planned hours meet the minimum OTJ requirement.
If you have custom questions against the core programme are these still visible when you add sub-programmes?
You can apply the same or different review types, sections or custom questions to both programmes and sub-programmes. So, custom reviews attached to the main skills programme will still be visible where there are sub-programmes, and you will also be able to create custom review sections and questions that you can apply to particular sub-programmes that are not used by the main skills programmes.
Please note that there will be no separate onboarding for a sub-programme so any custom onboarding questions will be those of the main programme.
If we are not going to use sub programmes and we are doing Apprenticeships which of the new drop downs would we choose?
You would choose 'Skills delivery' for the main programme enrolment and would see a list of your available skills/apprenticeship programmes from which to select.
The planned hours, employer start date and working hours will also now show for apprenticeships:
- Employer start date and working hours are optional fields but entering them allows us to show the minimum duration.
- Currently planned hours in the ILR is populated by calculating the minimum hours for the learner when it is captured. When released, this will change to use the value of this field. We will
pre-populate this field with the sum of the planned hours across the learning plan components for the selected programme. - The value in the planned hours field will be populated into the ILR when generated.
Where you want to apply a sub-programme, a main programme must first be selected for the learner. If you do not wish to use sub-programmes you would simply not add or complete anything in the sub-programmes section.
How will the addition of sub-programmes affect the main off the job training hours in the ILR?
Typically, the addition of a sub-programme would not affect your off the job hours; these would be derived from the sum of the learning components and sub-programme pathways, and be set at the main programme level. The OTJ hours are driven by the funding rules, so for instance if adding functional skills as a sub-programme you would not attach planned hours to the learning plan and would set the planned hours at zero.
How do we enable the new console for tutors?
Either at the point of creation of the tutor or in 'edit admin details' for an existing tutor, you just need to click the box at the foot of that page "Allow access to tutor console" and then 'Update'.
