FAQ: How should I use the group structure in Aptem?

Aptem’s group structure can be used to allocate an employer account to a specific group of learners. This ensures that the employer can only access the learner accounts in the group that they are allocated to. 

You can do this by editing the employer account details, and selecting the group(s) you would like them to be allocated to. 

Please note, this account should already be set up with the correct permissions and linked to an organisation.

If you set an employer account to the top-level group, they will be able to view and access all accounts from all groups. If you set them to a specific group, they will only be able to access learners from that group. 

When a learner is allocated to a group, it is only possible to specify employer-logins from the same group hierarchy, and selected organisation. Employer-logins from other Aptem groups, but the same organisation will not be listed in the manager and/or mentor dropdowns.

 

Permissions and access

  • If the Employer - View All in Assigned Group(s) permission is NOT assigned, and if you allocate an employer to the group, and then make them the manager/mentor for a single learner in that group, the employer account will only be able to access that learner. In this case, please do not link a learner to an employer account if you would like the employer to access all learners within that group.
  • If the Employer - View All in Assigned Group(s) permission is assigned, then employer-logins can access learners regardless of their manager/mentor setup. Employer-logins can use the ‘All learners’ / ‘Managed by me’ filter options to access all learners, or those for whom they have been set up as manager/mentor.
