Release 4.23

In the February 2021 release , we are introducing some fantastic new features, including our new Tutor console that will help manage your learners more efficiently.

 

Tutor console

The new mobile-friendly Tutor Console enables tutors to easily manage their caseload of learners. The new interface includes our new Learner Insights Dashboard which gives you a comprehensive view of all aspects of a learner's progress. We will be adding more features to the Tutor console in the March release including further Insights on the Learner Insights Dashboard.

With the release of the Tutor console we have added a new section into our help centre to help you get started.

 

Further process automation

Process automation helps you reduce the amount of administrative effort in managing learners and helps you ensure compliance. This release includes automated administration associated with a break in learning and a withdrawal from learning.

 

Break in learning

The ‘break in learning’ automation process automates the tasks associated with a learner who temporarily stops their learning. The process will help to eliminate the possibility of errors in re-keying and will reduce the associated administrative effort in updating the relevant areas of the system. The automation includes an approval process which can include one or two stages of review, depending on your standard business process. This will ensure that you have complete control over changes made to your learners' data.

Withdrawal from learning

The ‘withdrawal from learning’ automation process automates the tasks associated with a learner who permanently withdraws from their learning. The process will help to eliminate the possibility of errors in re-keying and will reduce the associated administrative effort in updating the relevant areas of the system. The automation includes an approval process which can include one or two stages of review, depending on your standard business process. This will ensure that you have complete control over changes made to your learners' data.

Update to the PDF review template

We have now updated the PDF review template to more closely align to the design of the review that system users will see in the system. We have now removed unnecessary data fields from the template, and we have branded the template, so it more closely match the user interface.

In the coming months we will also be updating the format of the Skills Radar to match the current system format.

 

Additions to the OData feed

We have added some additional information to our OData APIs:

  • All records now include fields for the date the record was created and the date last modified. If you use our APIs, you can now apply filters to collect only new or amended information.
  • You can retrieve the owner for a learning activity in the case where it is different from the case owner.
  • We have added the EDRS number into the organisation record, so that you can use this to check for potential duplicates.
  • We have added a new entity called ‘messages’ which will return messages sent to a user. This could return many results, so you will want to use the date created field to filter your results.

Compliance Dashboard – Compliance Overview

 
  • A Help on this page button has been added to the top of the page. This will provide you guidance on the content of the dashboard page.
  • You now have a Filters on this page panel displaying the filters you have active within the dashboard page.
  • The learners that are non-compliant will now be displayed in red.
  • A Reset Filters button has been added to this page. Click this to reset the dashboard filters.

Compliance Dashboard – Caseowner Compliance

  • A Help on this page button has been added to the top of the page.

Caseload – Assessor Overview

  • A Help on this page button has been added to the top of the page.
  • We have updated the metrics on this page and split them out to display in a more helpful way. The page now shows:
    • Total leavers
    • Leavers with full achievement
    • Leavers without achievement
    • Learners on “Break in learning”
    • Learners still on programme but past planned end date
    • Learners currently on programme and “in funding”
    • Number of learners with no ILR or privately funded

Caseload – Caseload by Assessor

  • A Help on this page button has been added to the top of the page.

Funding Dashboard

  • Functional Skills for traineeships is now included in the total values.

Funding – Learner Funding Data

  • A Help on this page button has been added to the top of the page.
  • Previously, this page was just a table. It now offers the following filters:
    • Filter ILR Aims by learning status
    • Live status of aims
    • Case Owner
    • Programme Type
    • Excluded from batch
  • We have added the following metrics to this page.
    • Total learners including leavers
    • Count of Aims from total learners
    • Number of ‘Live’ learners
    • Number of ‘Live’ aims from ‘live’ learners
    • Number of ‘Live’ aims excluded from batch
    • Count of ‘Live’ Learners Unfunded/ Past end
  • A Click here to Reset Filters button has been added to this page. Click this to reset the dashboard filters.

Funding – Year To Date

  • We have updated the values in the Monthly Funding Values chart.

Upcoming dashboard changes

  • We are producing more help material for the Aptem’s integrated Power BI Dashboards which will be added to the Aptem Help Centre.
  • In the coming month we will be making further enhancements to the Ofsted Quality Dashboard.
