Updates and fixes
New Review section - Transcripts and Meeting Notes.
When a tutor, learner or employer wants to add meeting notes to a review, they can now do so in a specific section. This section must be configured at the programme level using the Review token. This section follows the same practices as all other review sections i.e. use the arrows to select where this section appears in the review. Also, the employer and learner can edit or view the section as per the section configuration. This section is intended to be used as a repository for transcripts to store as evidence against the review. Meeting notes are available to view in completed reviews, and available to edit or view in in progress reviews.
The section will not be enabled by default and needs to be enabled by customers. For existing review types, when enabled in the Programme Builder, the section will appear in all reviews of this type for all learners on this programme.
The character limit for Meeting Notes is 20,000 characters. A validation warning is displayed when the text exceeds 20,000 characters and the section will not be saved.
Please note - Due to the possible length of the Meeting Notes section, it will not be exported to the Review PDF or OData.
Fixes
A defect resulted in the Learner Support section of the Learner Profile not displaying details of learning difficulties, disabilities, and health problems if these were present in the Health section in ILR. This information now shows in this section as expected.
There was an issue where the new RPL tracker was not using the working hours in the latest employment status of "10 - In paid employment" to calculate the planned duration. After this fix it will always use the latest employment status record.
Previously an admin could create multiple users with the same email address and data by clicking 'Create' button repeatedly. This has now been resolved ensuring only one user can be created per email address.
Upcoming features - within the next three releases
Based on the work we have completed in the past feature sprint(s), we have the following features lined up for release in the near future.
Marking Aid
We are gathering feedback from our early adopter customers to work towards our first iteration of the Aptem Enhance Marking Aid feature. This functionality will allow tutors to meet the specific needs of apprenticeship delivery, enhancing quality without compromising the flexibility across different assignments and standards.
Transcripts and Meeting Notes
We will be upgrading the Transcripts and Meeting Notes review section to add additional functionality including the ability to upload transcript documents and automatically retrieve transcripts from Teams (for customers who use the Communications Connector with Teams). This will reduce administrative effort for the tutor, and increase the accuracy of what is recorded to drive efficiency for our customers.
Virtual Assistant and Checkpoint connection
In future releases, the Virtual Assistant will proactively engage with the learner after they answer Checkpoints incorrectly. It will allow the learner to explore the topic and provide new opportunities to enhance their learning by engaging in conversation at the point of checking their knowledge.
Power BI Funding Dashboard updates
We are continuing to improve the user experience and value of data provided within the Funding Dashboard report. As part of these changes, we will extend the reporting period filters.
Where date filters exist on a Funding Dashboard reporting tab, we will update these options to provide customers with the ability to report on the funding data within those reporting tabs by historical, current, and future academic years.
Users will be able to select one option at a time from the following:
- Current academic year.
- The past 5 academic years (if data exists within Aptem).
- Future academic years (if data exists within Aptem).
Tenant Specific APIs
We have formalised our existing technical approach to have tenant-specific APIs as part of our best practices. The legacy method to process requests via api.aptem.co.uk will soon be disabled. Please ensure your API calls are updated to use the revised {tenant}.aptem.co.uk URL in time. Note that this will not cause any change in functionality.
