Aptem Checkpoint: Applied KSBs - General availability

The applied KSBs feature is now available for all Enterprise customers as part of Aptem Checkpoint. The November release implements beta trial feedback and ensures the feature is accessible to customers. This allows these customers to configure the scenario-based questions at their leisure without needing to request access via CSMs/ Support teams. Note that learners cannot interact with these questions until the customer has completed their configuration setup via tenant settings.

Customers without Checkpoint/ moving to the Enterprise package will still need to follow the standard process to enable Checkpoint. 

Ability to filter Power BI Quality dashboard by UKPRN

When an MIS manager uses the Quality dashboard, they can now split and view the Quality, QAR and Accountability data by the UKPRNs that they control. To do this, they can use the new UKPRN filter on each page. The default is that no UKPRNs are selected, which shows the total amounts. Selecting one or more UKPRNs will show the value for just the chosen UKPRNs.

Notes

  • The Employers page doesn’t have the UKPRN filter due to the data being based on all employers, not just those associated to learners.
  • The menu page will display one UKPRN at a time.
  • On the Contract and Performance pages, the provider name has been added to the data tables so that each UKPRN is listed separately.
  • The learner's UKPRN has been added to each data table that contains learner details.

Other updates and minor improvements

Minor improvements

  • The Checkpoint icon has been moved to the left navigation bar for learners, aligning with the standard design structure and enhancing navigation consistency. Previously, this was presented via the main heading navigation (next to the notifications).

  • When a tenant administrator configures the Teams Communications Connector and needs to align with the funding rule of Reviews being held every 3 months, they can now set the meeting scheduling time frame to a maximum of 90 days. Previously this was limited to 60 days.

    Customers who have already configured this limit will see their settings remain the same after the release. If they amend this to the new 90-day limit, the next time Aptem checks for scheduled meetings it will schedule those up to 90 days in advance. 

Fixes

  • Previously, when the review token was disabled within the Programme Builder, tutors trying to access the Checkpoint reporting screens would see an error. This has now been resolved. Now, when tutors navigate to the Checkpoint reporting screens, they can access this data regardless of whether the review token is enabled or not within the programme builder. If the Reviews token is disabled, the 'Next Review Date' data will not be displayed within these reporting screens.
  • When a learner is completing a Cognassist assessment, and wants the result to be synced to Aptem, this can be processed independently from any assessments completed by other people, or the existence of records not being linked to data in Cognassist.

 

Upcoming features - within the next three releases

Based on the work we have completed in the past feature sprint(s), we have the following features lined up for release in the near future.

Marking Aid

We are working towards our first iteration of the Aptem Enhance Marking Aid feature. We will be gathering feedback from our early adopter customers to work towards an iteration that will provide functionality allowing tutors to meet the specific needs of apprenticeship delivery, enhancing quality without compromising the flexibility across different assignments and standards. 

Transcripts and Meeting Notes

We will be providing the ability to manually or automatically add review meeting notes and transcripts into key parts of the system. Our enhanced functionality will reduce administration effort for the tutor and increase the accuracy of what is recorded. This will impact quality and compliance, and drive efficiency for our customers.

Virtual Assistant and Checkpoint connection

In future releases, the Virtual Assistant will proactively engage with the learner after they answer Checkpoints incorrectly. It will allow the learner to explore the topic and provide new opportunities to enhance their learning by engaging in conversation at the point of checking their knowledge. 

Power BI Funding Dashboard updates

We are continuing to improve the user experience and value of data provided within the Funding Dashboard report. As part of these changes, we will extend the reporting period filters.

Where date filters exist on a Funding Dashboard reporting tab, we will update these options to provide customers with the ability to report on the funding data within those reporting tabs by historical, current, and future academic years.

Users will be able to select one option at a time from the following:

  • Current academic year.
  • The past 5 academic years (if data exists within Aptem).
  • Future academic years (if data exists within Aptem).

Tenant Specific APIs

We have formalised our existing technical approach to have tenant-specific APIs as part of our best practices. The legacy method to process requests via api.aptem.co.uk will soon be disabled. Please ensure your API calls are updated to use the revised {tenant}.aptem.co.uk URL in time. Note that this will not cause any change in functionality.
