Overview
When you have registered on the Aptem web site you will be able to view your profile and progress on your training plan. This video and the following article helps you get started with the Aptem console.
Getting familiar with Aptem console
Assuming you have successfully registered with Aptem, you will have access with your new login details to access the console view of Aptem as a learner. If you did not start or complete the Onboarding Wizard following your first login after registration, you will be taken back to where you stopped during the Wizard. You must complete the Onboarding process including:
- Activating your account – Aptem Help Centre - Activation of your account, entering your personal information, and creating an electronic signature
- Completing the ILR and Extended ILR – Aptem Help Centre
- Completing your Personal Learning Record (PLR) – Aptem Help Centre - if enabled by your administrator, you can save details of your learning experiences and provide evidence / proof.
When these process are complete, you can log in to Aptem console and see your individual learner profile.
The menu on the left
All the main items on the menu on the left-hand side of your screen are described in the sections below.
Dashboard
The Dashboard of a learner is the first view shown in the learner's Console. When you are further through the training programme it will show details like these below: your Delivery Programme, Progress, Requires Attention, Action Plan Components, Off-The-Job Hours, Timeline, and the Skills Radar Report. Action Plan
The Action Plan contains a list of the elements of your training plan and review meetings. Click on an element to view the details in the Review box on the right of the screen. When there is a lot of detail you can expand the Review box to full screen size (arrows icon) or close the box.

If details have been added, they will show in the Evidence folder. If you need to, you can Upload a relevant File or Add Note: in both cases you can select the type of evidence you are providing and select the Completion Date from the dropdown Calendar. The Select file and drag & drop options enable you to select a file from your computer. In the Note, you simply add explanatory text.
Tasks
Tasks provides you with a calendar view of your activities as an apprentice/trainee. You can view by day, week, month or by your Agenda.
The events are shown within the calendar or agenda with time blocked out accordingly. Overdue events are displayed in red and are easy to note and take corrective action. Click on the red button (Assignment in this example) to show the details in the right-hand column.
Click the button to record a task that you need to do. The Create Task dialog is shown below:
You can select the type of task from the extensive dropdown menu and the date by when the task must be accomplished from the Calendar dropdown. You can set a Notification to remind yourself of the deadline as well as completing the other (self-explanatory) fields.
Click the button to save the task you have created.
Messages
The Messages section shows you the messages you have received (if Show Notifications is turned on) and you can type a message in the message box at the bottom and attach a file to it (click on the paper clip icon, find the file, and add it or drag and drop in the dialog, add a description and & click Attach file).
Click button to send your message.
Documents
Click on the Documents icon to show your documents, the important ones showing at the top of the list: when your signature is required and you choose Signatures Required, the documents are listed with the title and View & Sign button.
The View is of the complete document and at the bottom is the signature of the advisor/tutor and the area where you click to sign using your saved signature.
My Documents / Compliance Documents
My Documents section contains any documents you have created or received, such as evidence, Compliance Documents contains the documents required by the UK Government and signed by you, for example the Apprenticeship Agreement and the Commitment Statement.
Other Documents
The Programme Documents concerning your specific training programme are stored in Programme Documents, for example, the Written Agreement between you, a training supplier, and your employer.
The Skills Radar Reports : As you progress through the training programme you will receive scores on the many criteria for the modules of your course. A Skills Radar Report shows you the source document and your score(s).
The Onboarding, Skills Radar Reports and Reviews items in this Documents list show lists of source documents of the categories shown in the main, permanent Aptem menu on the left of your screen and are described below.
Onboarding
The Onboarding icon shows you your progress through the Aptem Onboarding process. In this example, Ben Learner has completed all sections. He can navigate through the Onboard sections by clicking on the section names in the panel on the right.
Skills Radar Reports
As you progress through the training programme you will receive scores on the many criteria for the modules of your course. A Skills Radar Report shows you each criterion and you score with a graphical summary box on the right-hand side.
Reviews
Click the Reviews icon to show the planned and completed reviews within your training plan. Click the View button to view the list of planned review or click the Continue or View buttons.
Planned Reviews (the default initial view) are the standard and any additional reviews agreed between you and your tutor/coach/employer. Click the View button to view the list of planned reviews. Click Continue or View to view the significant amount of material collected or to be collected about you and your performance.
When the list becomes long, click on any of the first four columns of the table shown and you can select a name or type and sort the order in ascending or descending alphabetic order (indicated by a small blue arrow).
Now you have a login - take a look with your live system.
Click the button to view the list of Reviews that have been completed; click on the View button to see the details. Click View or Continue button: an example of a Mentoring Session is shown below.
Help and Support
Click the Help & Support item to see the options you have to get help when you need it:
Menus on the top-right
At the top-right of your screen, you can see three icons, from left to right: Action List, Notifications, and your Profile options.
Action List

Click on Log Activity to record an activity such as a training module, a seminar, or an off-the-job activity. Click Create Task to complete the dialog detailing a task to be completed. Click Send Message to send a message to your tutor/coach/manager/colleague. Click Upload Document to upload a file containing for example, work you have completed, certificates or any other kind of evidence. Click on Export ePortfolio so you can download your ePortfolio: in other words, your evidence files such as Certificates, Assessments of your work and so on. Learners like you will typically use this facility when you have finished your programme so you can use the Portfolio at any time in the future. Click on Useful Links - it may have been used by your training provider to store links to websites relating to its own organisation or other external sources that are helpful for you during your training programme. |
Notifications
Click on the Bell icon to see any notifications of things affecting you. |
The Notifications list shows any items of your Aptem training programme which affect you and may well require an action from you. Examples include: - A reminder about an upcoming meeting - A message from your tutor/coach to acknowledge the evidence you uploaded as proof of having a qualification, which may be Approved or Referred. - System Messages

Profile options
Click on your photo (if you uploaded it) or your initials if not, to show your Profile Options |
Account Settings You can select your settings concerning Notifications about emails, about the data stored About You, your Signature Sample, and your Security Settings. You may need to Switch to Aptem Classic interface for some functions - this where you can choose it. Logout - to leave the Aptem system when you choose. |
