Define the number of Applied KSB questions in Aptem Checkpoint
When an administrator wants to customise the automatic Checkpoint trigger to vary the types of questions within each Checkpoint, they can now set the target number of scenario-based and theory-based questions for a programme set.
When creating a new Programme Set, an administrator can choose a target number of scenario-based or theory-based questions per KSB. The default value for these fields is 1, and the maximum number allowed is 3.
Please contact your CSM to enable this functionality for your tenant.
Periodic Checkpoints
Administrators can now use the periodic settings feature in Aptem Checkpoint, and can choose from daily, weekly, monthly, and quarterly cadences in the periodic settings. Periodic Checkpoints are generated at the selected cadence, ensuring that the Checkpoint content adheres to the period of the cadence.
Please contact your CSM to enable the Periodic Checkpoints functionality for your tenant. For more information, see: Checkpoint - Periodic creation.
Updates to Communications Connector with Teams
These updates affect you if you have purchased the relevant Integration/Add-on.
Schedule Reviews and Meetings in Teams instantaneously
Tutors can now schedule online Meetings or Reviews in Teams almost instantaneously, so that users no longer need to wait three hours (the scheduling period) for the meeting to be scheduled via the Communications Connector with Teams. Within a few seconds of creating a Meeting or Review, tutors will see the meeting event in their Teams calendar, learners and employer will be invited by email, and the 'Join URL' will be returned to Aptem.
Meetings and Reviews will be scheduled in Teams in as close to real-time as possible - there may be a delay of a minute or two if there are many meetings to schedule. As with all Meetings and Reviews which are scheduled in Teams, the Meet Online button must be ticked for the meeting to be scheduled in Teams. The Review or Meeting date must also be within the scheduling timeframe (e.g. 60 days). Meetings created outside of the scheduling timeframe will be scheduled by the job once the meeting falls within the scheduling timeframe.

Allow learners to join online placement in Teams from the learning plan in Aptem
When a learner wants to join a placement in Teams via the Aptem platform, they can now do so via the Learning Plan component. Previously, learners could only access the Teams link via the tasks. Allowing them to do so via the Learning Plan component provides consistency with Review and Meeting component types, and improves the UX for the learner.
Note that this change is only available in Console. In Classic, the Teams link for Placements is still only stored in the learner’s tasks.

Learner Reporting: Filtering
- When a learner is using the Checkpoint History screen and they want to find a specific Checkpoint to review their results and progress their learning, they can now use the filtering capabilities. Learners can filter by:
- 'Date taken' to narrow down reports to specific Checkpoint date ranges.
- 'Checkpoint' score to narrow down reports to specific score ranges.

When a learner is using the Checkpoint History screen and they want to find a specific Checkpoint to review their results and progress their learning, they can use the 'Trigger type' filter to narrow down reports to specific Checkpoint types, such as manual or automatic triggers.
Moved the Manual Checkpoint form
When an administrator or tutor is using the Manual Checkpoint creation feature and they want to create a new Manual Checkpoint for a learner, they are now taken to a new full page. This allows them to efficiently set up the details and parameters for the Manual Checkpoint, ensuring a streamlined process for tracking learner progress.
Learner reporting Table in the Learner Profile
When a tutor navigates to the Checkpoint tab inside Learner Profile they can see previous Checkpoints directly within the profile. This enhancement is designed to streamline the tutoring experience by providing comprehensive insights into a learner's progress and performance without the need to switch between screens or navigate elsewhere in the system.
Key Features:
- Tutors can now see a list of all previous Checkpoints a learner has completed.
- Each Checkpoint entry includes a summary with key details.
- Tutors can expand each checkpoint entry to view detailed information about the types of questions included.
- Tutors can paginate through the data to easily navigate and manage large volumes of information.
- Tutors can search using checkpoint names.
- Tutors can filter data by Trigger type, Date taken and Score range.
Individual Learner Reporting: Searching
Learning Plan Component
When tutors use the Learning Plan Component search feature in the individual learning reporting screens and they want to streamline the process of finding specific components to enhance session preparation and review efficiency, they can search for learning plan components by name, enabling them to quickly locate the specific components they need. This feature makes the planning and review process more efficient and customised to the needs of individual learners.
Checkpoint History
When an administrator is using the Checkpoint Search feature and they want to efficiently review and revisit essential content, they can search for previous Checkpoints by name, allowing them to quickly access specific Checkpoints upon the Checkpoint History section. This feature facilitates efficient review and preparation by enabling quick access to essential content.

Delete Checkpoint settings
Delete Automatic Checkpoint Settings
When an administrator uses the Automatic Checkpoint setting feature and needs to manage or remove an existing setting, they can now delete the Automatic Checkpoint once it has been created. This update offers greater flexibility and control in managing these settings. Any Checkpoints previously triggered with these settings will remain available within the learners and reporting screens. These settings being removed will therefore prevent any future Checkpoints from being triggered.
Delete Periodic Checkpoint settings
When an administrator is configuring a Checkpoint and wants to adjust the periodic configuration options, they can now successfully delete unwanted settings from the Periodic Trigger setting page. Any Checkpoints previously triggered with these settings will remain available within the learner and reporting screens. These settings being removed will therefore prevent any future Checkpoints from being triggered.
Export Functionality Enhancement - Programme level Reporting
When tutors and administrators are using the Programme Level Reporting screen and they want to facilitate in-depth analysis and create insightful reports based on student progress, they can export table data into commonly used formats, such as CSV. This enhancement ensures data integrity by accurately representing the data displayed in the table. An "Export" button has been added to the Programme Level Reporting screen, which initiates the export process and converts the visible table data into the selected format. After a successful export, a confirmation message, "Data exported successfully," is displayed to inform the tutor that the export process was completed without errors.
Note - this export is only available on this programme summary reporting page. In future iterations, further exports of data will be made available from the individual programme-level reporting page.
Updates based on ILR 24/25
Updated Major Source of Tuition Fees in HE Entity to ILR 24/25 V3
When an administrator uses the Learning Delivery HE entity in the ILR and wants to report tuition fees accurately, they can do the following things:. They can select the new MSTUFEE Code 10 for the Student Loans Company and use the updated description for MSTUFEE Code 2.This ensures that all reports are aligned with the latest ILR 24/25 V3 standards, improving the accuracy and compliance of their reporting processes.
Updated Qual on Entry in HE Entity to ILR 24/25 V3
When an administrator is using the Learning Delivery HE entity in the ILR and they want to report learner qualifications accurately, they can select the new "P55 - T Levels" code in the Qualifications on Entry dropdown, ensuring that all qualifications are reported correctly and in line with the latest ILR 24/25 V3 standards.
Updated LDM codes to ILR 24/25 V3
We updated the list of LDM codes to ensure that our customers can accurately report their learners to government funding organisations. Additionally, we have added LDM codes 392, 393, 394, and 395, which will be valid from 1st August 2024. This change improves the accuracy and compliance of learner reporting, aligning with current government requirements.
Updated DAM Codes to ILR 24/25 V3
When an administrator uses the ILR modal and wants to report learner data accurately, they can select from the new DAM codes 074, 075, and 076, ensuring they meet the latest reporting requirements. Additionally, they will see that DAM code 030 no longer has a valid date, simplifying their reporting process.
Updates to Aptem Assess
Additional Learning Support Resources
Additional learning support resources have been made available via the Resource Centre. This will aid learner progression for those identified by giving them access to relevant resources that can support and modify their learning plan.
Updated the 'MaxAnswerTime' parameter for Aptem Assess Long Assessments
When a learner is completing an Aptem Assess cognitive assessment, and they want the result for each section to be accurate based on the answers they provide within the allocated time, they can continue to complete the assessment and correctly answer a specified number of questions without being marked as Support Indicated due to the 'MaxAnswerTime' parameter being increased.
Updates to the Cognassist Integration
Learner registration happens when administrator is viewing the learner's Onboarding wizard Cognassist Registration step
When an administrator navigates through the Onboarding Wizard for a learner with the Cognassist step configured, and they want to preview the data configured at programme level, they can now complete this action without triggering automatic registration for the Cognassist cognitive assessment. This ensures that learners will not get invites to complete the assessment unexpectedly before they preview the step themselves or get properly instructed by their Case Owner.
Fixes
- When trying to edit a programme with a large number of competencies, an “oops” error was appearing which blocked editing. This fix ensures that no errors will occur when editing a programme with a large number of competencies.
- In case where a learner has the Cognassist step configured in their Onboarding wizard and reaches it during their onboarding journey, they will be presented with instructions configured at a programme level to advise on the actions required to complete the assessment of cognitive characteristics.

Based on the work we have completed in the past feature sprint(s), we have the following features lined up for release in the near future:
Aptem Checkpoint: Applied KSBs
The next iteration will build upon already available functionality by adding the ability to customise the number of Applied KSB Scenario-based questions per KSB within a Checkpoint. It will also allow tutors and administrators to select the type of Checkpoint Trigger (Automatic, Periodic, or Manual) and specify if the Checkpoint should include Theory-based questions, Scenario-based questions, or a mixture of both. Power BI Funding Dashboard Updates
We are continuing to improve the user experience and value of data provided within the Funding Dashboard Report. A number of changes will be made including:
- Extending the reporting period filters
- Merging funding detail reporting tabs
- Merging pop out errors into existing tabs
- Merging the provider weighting tab with the funding headline reporting tabs
- Merging funding summary and Learner funding tables

Tenant Specific APIs
We have formalised our existing technical approach to have tenant-specific APIs as part of our best practices. The legacy method to process requests via api.aptem.co.uk will be disabled as of January 2025. Please ensure your API calls are updated to use the revised {tenant}.aptem.co.uk URL in time. Note that this will not cause any change in functionality. The API documentation at https://aptem.co.uk/api.html will be updated to reflect this change.
Note
Our planned work on Centralising Compliance Documents feature has been re-prioritised. This decision follows a detailed technical investigation and the need to align the development work with customer workflows around new ESFA compliance document releases. This is an important development that will remain in our roadmap, and we will update you on revised timescales in due course.
