Checkpoint - Periodic creation

Overview

To set up a periodic Checkpoint, you must have the ‘Manage Tenant Settings’ role and either the ‘Supervisor' or 'Checkpoint Tutor’ roles. Please contact your CSM to enable this functionality for your tenant.

 

Set up a Periodic Checkpoint

Use the main menu on the left to navigate to Settings > General. Under the Checkpoint settings, you will have the following option to enable Periodic Trigger.

When enabled, Learners will see a Checkpoint surfaced to them at the chosen time periods. These Checkpoints will be made up of questions related to any mapped Learning Plan Components that have been completed within the selected period. This mapping could be pre-mapped to their component within curriculum design or the evidence mapping that is assigned to the component by the Tutors when completing the components.

1. Click Additional Settings on the 'Automatic Trigger' panel and ensure that the toggle is set to 'Enable'. The next page will display a grid of all currently created periodic triggers including the following details:

  • Name - Name of the periodic trigger
  • Programmes - Programmes whereby this periodic trigger will apply and surface Checkpoints to Learners.
  • Edit/ Delete Icons - the ability to modify the saved periodic configurations.

2. Click 'Create Periodic Configuration' to configure your Checkpoint and complete the following fields:

  • Name: Name of the periodic trigger
  • Programmes: Programmes whereby this periodic trigger will apply and surface Checkpoints to learners. Multiple programmes can be selected and these will share the same Checkpoint settings.
  • Checkpoint Expiry - Number of days after which the Checkpoint will expire and no longer be visible to the Learner.
  • Number of questions & Frequency
    • The target number of Theory-based questions per Learning Plan Component KSB
      • Set how many theory-based questions should appear per KSB. This value must be more than 0, and can be a maximum of 3.
    • The target number of Scenario-based questions per Learning Plan Component KSB
      • Set how many scenario-based questions should appear per KSB. This value must be more than 0, and can be a maximum of 3.
    • Frequency: The interval by which the Checkpoints should be triggered. Options include day, week, month, quarter.
    • Note - A Checkpoint will not be triggered if fewer than three KSBs have been mapped within the specified time period. Checkpoints are only generated when the learner has completed the minimum required number of components.
  • Start Date
    • The date by which the first periodic Checkpoint should be triggered on.
  • End Date
    • Optional field denoting the date till which the Checkpoint is valid, i.e. the date up to which the learner can complete the Checkpoint. After this date, the Checkpoint will be removed from the learner's actions and will have a status of expired.

3. Click Save Changes to apply these settings immediately to all Learners on the chosen programme who have been given the “Allow access to Checkpoint” permission.

If you want, you can create periodic triggers for the same programme with varying cadences. For example, you can set up triggers with customised cadences — whether weekly, monthly, or at other intervals —based on specific needs.

Notes

  1. Checkpoints will not be created retrospectively for learning plan components completed prior to these settings being saved. Checkpoints will only be triggered for future completed learning plan components on these programmes.
  2. A combination of automatic, periodic and manual Checkpoints can be configured and used within the same programme.
  3. A scenario question will be added to the usual theory-based questions in all Checkpoints based on periodic triggers. On the reporting pages, learners, tutors and administrators will see a label that differentiates between a theory question and a scenario question.

 

Delete a Periodic Checkpoint

To adjust the periodic configuration options, administrators can delete unwanted settings from the Periodic Trigger setting page.

Use the delete icon on the far right of the Checkpoint you wish to delete.

Any Checkpoints previously triggered with these settings will remain available within the learner and reporting screens. These settings being removed will therefore prevent any future Checkpoints from being triggered.

Note that deleting a Periodic Configuration will result in no future Checkpoints of these settings being surfaced to Learners. Any Checkpoints (outstanding or completed) will remain within the learner views and reporting screens for review.
