Best practices

Clear and concise queries

Be specific: Ask direct questions for accurate responses. For instance, rather than asking broad questions like 'What do I need to do next?', you can inquire about specific KSBs, request examples, or seek advice tailored to your situation. Here are some examples:

  • Can you explain the specific skills assessed under each KSB group?
  • What are the knowledge, skills, and behaviours (KSBs) for effective team communication?

Provide Context: Include relevant details in your questions to help the virtual assistant better understand your request. For example, specify the KSB or topic area that you are inquiring about.

Relevant Questions: Limit questions to those directly related to your apprenticeship standard. This includes asking for explanations of KSBs, requesting examples, or seeking advice based on specific situations. As examples, consider the following questions:

Factual questions

  • Can you outline the project life cycle?
  • Could you give me guidance on Decision making techniques?

Scenario based questions

  • I have an underperforming member of my team, I want to turn things around, but I'm nervous about our conversation. What advice can you give me? 

Other questions

You could also ask about topics not explicitly mentioned in the standard, but still related to the topic. For example:

  • Can you tell me more about Active learning?

 

Appropriate Usage

Avoid Personal Information: Refrain from sharing personal or sensitive information with the assistant.

Moderation: Refrain from asking inappropriate questions. The assistant incorporates moderation features to filter out and respond appropriately to such queries. Avoid repeating any information.

 

Handling Issues

Response Delays: If the assistant takes longer than 10 seconds to respond, a message will inform you of the delay and prompt you to try again.

 

Seeking Additional Help

Talk to a Real Person: If the virtual assistant’s response is not helpful, you have the option to escalate the query to a real person for further assistance.
