Aptem Checkpoint

Aptem Checkpoint, the first of our Aptem Enhance features uses large language models and built-in knowledge of the KSBs to check a learner's understanding throughout their apprenticeship, evidencing progress and acting as a supportive tool to successful completion. It is designed to supplement one-to-one discussions, equipping tutors with invaluable insight into where their support is most needed, without requiring any additional time to prepare materials or schedule extra conversations.

  • Aptem Checkpoint offers a library of questions and answers mapped to the IfATE apprenticeship standards KSBs.
  • Answering these questions successfully provides an impartial indicator of learner success at EPA. Incorrect responses guide learners on how to improve.
  • Lack of engagement with these checkpoints, or poor scores, indicates intervention is required, reducing drop-out or out of funding.
  • This is a flexible feature and can be used during onboarding to assess starting points, throughout a learner journey to assess progress, and pre-Gateway to assess preparedness for EPA.

Communications Connector with Teams

We have added a Communications Connector with Teams that allows tutors to schedule / join Online Events in Teams directly from Aptem. This feature is important for administrators who are responsible for scheduling online meetings - it enables them to easily find and schedule online meetings, ensuring that upcoming online meetings can take place as planned. With this update, Admins can seamlessly integrate the scheduling process with Teams, enhancing collaboration and convenience for all users.

The Communications Connector with Teams will go live with a “Beta Release” in April 2024. The current early-stage release will not include every feature that we hope to eventually release to customers. The April 2024 release enables tutors to schedule and reschedule Reviews and Meetings (Learning Plan Components of type “Meeting”) from Aptem that will be then scheduled and rescheduled in the user’s Teams calendar.

The tutor who has scheduled the meeting will be the “Organiser” of the Teams meeting (Component Owner) and the appropriate attendees will be invited via email:

  • For Reviews, the learner and employer (Manager & Mentor) will be invited if appropriate (if the review is configured for the employer to “view” the review).
  • For Meetings, the learner will be invited.

Other Updates

  • When an administrator is editing the programme details and the Learning Plan token has been disabled, they will now receive a warning message asking them whether they wish to continue with this action or return to correct any errors. This update ensures that admins are given the opportunity to rectify this action and prevent the Learning Plan from being unintentionally removed from the programme.

  • When a Tutor or learner is accessing the online learning platform and Zoom is disabled, they will no longer see the "Join Zoom" or "Start Zoom" buttons. This change was made as part of the Zoom deprecation work.

Fixes

  • Tutors/admins monitoring and managing learner progress and workload, are in the Caseload/Performance dashboard and want to view an accurate calculation of learner progress and workload. The Workload count is calculated from the number of unique Learners appearing in the Requires attention section divided by the total caseload.

    They can also view the restored totals on the following 'Requires Attention' cards:

    • Activities Overdue

    • Requires Marking

    • Feedback Received

    • Open Trackers

  • When a Tutor is creating a manual Checkpoint and they have not specified the 'Number of Questions per KSB' value, they will now see a validation message. Additionally, after creating a manual Checkpoint and reloading the form, the 'Number of questions per KSB' field will now be set to 1 by default.

  • When MI managers send compliance documents to be signed by employers, they can now allow employers to sign a system-generated Training Plan even if an uploaded Apprenticeship Agreement is present. This fix allows the employer to sign the Training Plan document if the Apprenticeship Agreement document type has been uploaded to the Learner Profile Compliance Documents section.

 

Upcoming features - within the next three releases

Based on the work we have completed in the past feature sprint(s), we have the following features lined up for release in the near future: 

Surfacing Review Responses sections via OData

In order to give customers greater reporting and forecasting abilities with regards to the Reviews functionality, we will surface review custom sections, including their responses via a new OData feed. The general availability for this feature will be in Q2 2024.

We will further improve this feed to surface the following sections:

  • Core Topics
  • EPA Gateway
  • Individual Support Needs/ Requirements
  • Short and Long Term Goals
  • Comments
  • RAG

This will ensure parity with the Classic review export functionality.

Aptem Assess enhancements

We are further developing Aptem Assess, to provide additional learning support resources, accessible via the resource centre, which can be used to modify a learner’s learning plan.

Centralising Compliance documents

We are working on a a self-serve document creation tool that will allow customers to create and maintain their own compliance documents based on Aptem templates from one central point. Customers can designate templates that will apply by programme and start date. This will have the following benefits:

  • Customers will be able to maintain compliance document templates without the need to clone and rebuild programmes. This will remove a significant administrative burden placed on customers whenever a new version of a template is released.
  • Disassociating the templates from specific programmes and sharing them from a central location will further reduce the burden of maintaining the same document in multiple programmes.
  • Reduces the time spent on applying new templates which will allow our customers to deploy their resources to more learner-facing activities.
  • This will enable the release of smaller and more frequent improvements which will allow us to maintain the compliance of our document templates.
